Using the workspace
Terms of use
Last updated November 7, 2026
RecOps is independently owned, proprietary software made available to authorized adult program staff. Use the workspace for approved program operations, protect the records entrusted to you and review every communication before sending.
Authorized access
Access to the management application is by the owner’s authorization. Each director uses an individual protected sign-in and is responsible for keeping sign-in and recovery information private. Access to this public information site does not grant access to the protected application or any program records.
Use only records and accounts you are authorized to access. Do not attempt to bypass access restrictions, impersonate another user, expose private records publicly or give application credentials to an unauthorized person. The owner can suspend or remove application access.
Program information and decisions
Authorized staff are responsible for the information they import, enter, finalize and share. Check the selected season, recipient identity, roster scope and finality of team or practice assignments before relying on them in a communication.
RecOps assists with administration; program directors remain responsible for program decisions and the accuracy and appropriateness of messages. Missing information, uncertainty and sensitive matters require director review. RecOps does not establish program policies, promise schedules or decide an issue on a program’s behalf.
AI writing and Gmail drafts
Generated writing is a suggestion and can contain mistakes. Review and edit the complete message, recipient list and included roster or practice information before approving a draft. Approved drafts are created in the authorized Gmail account for a director to review and send. RecOps never sends emails automatically.
Gmail connection permissions must be granted by an authorized account user. Google’s compose scope technically includes sending permission, but the implemented RecOps integration provides no send operation. An application approval is not a substitute for reviewing the final Gmail draft.
Use the communications workflow for approved program purposes. Do not place unnecessary personal or sensitive information into AI requests or optional writing examples. The privacy notice explains the current model-data boundary, Gmail access and service providers.
Software and program records
RecOps remains the independently owned, proprietary software of its owner. Authorized use of the workspace does not grant permission to redistribute its source code or disclose private program records. Handle program information according to your authorization and the program’s applicable responsibilities.
Availability and the pilot
The communications workflow is being introduced through a limited pilot. Features, external connections and scheduled operations may be held, interrupted or changed for review, maintenance, credential renewal or recovery. Do not rely on an unconfirmed draft or scheduled check as proof that a message was sent. Directors should continue to review the connected mailbox and application status.
Questions and access changes
Contact cgknight28@gmail.com for application support, access changes or questions about these terms. Contact the relevant program directors for program decisions and record corrections. The mailbox owner can revoke Google authorization through their Google Account; the privacy notice explains connection and deletion choices.
